This Privacy Policy explains how we collect, use, disclose, retain and protect personal information when you use the elev8.dance website, registration portals, competition management platform, studio scheduling tools, mobile or web applications, and related products and services (collectively, the “Services”).

Our Services are designed for the dance community and may be used by competition and festival organizers, dance studios, teachers, adjudicators, dancers, parents and guardians, event staff and other authorized users.

We collect and use personal information only for purposes that are reasonably necessary to provide and improve our Services, operate our business, meet our legal obligations, and support the organizations and individuals who use elev8.dance.

2. What Is Personal Information?

“Personal Information” generally means information about an identifiable individual.

Depending on how you interact with elev8.dance, this may include information such as your name, contact information, account information, date of birth, participation information, event information, transaction information and other information associated with you.

Some information used through elev8.dance relates to businesses or organizations rather than individuals and may not be considered Personal Information under applicable privacy laws.

3. Our Role in Handling Information

Because elev8.dance provides software to dance studios and event organizers, our role may differ depending on how information is collected.

Information We Collect Directly

When you create an elev8.dance account, contact us, purchase Services, request information or otherwise interact directly with elev8.dance, we generally determine why the information is collected and how it is used.

Information Provided by Studios and Event Organizers

Dance studios, competition organizers and other organizations using elev8.dance may enter, upload or manage Personal Information about dancers, parents, guardians, teachers, adjudicators, staff or other individuals.

In these circumstances, the studio, competition organizer or other customer generally determines why that information is collected and how it will be used for its event or operations, and elev8.dance provides the technology through which the information is managed.

If you have questions about information submitted to elev8.dance by a particular dance studio or event organizer, we may direct your request to that organization where appropriate.

4. Personal Information We May Collect

The information collected depends on the Services being used and your relationship with elev8.dance.

We may collect the following types of information.

Account and Contact Information

This may include:

• first and last name;
• email address;
• telephone number;
• mailing address;
• username and account identifiers;
• password or authentication information; and
• communication preferences.

Studio and Business Information

For studio owners, event organizers, teachers, adjudicators and other business users, this may include:

• studio, organization or business name;
• business contact information;
• role or title;
• teacher or choreographer information;
• event information; and
• information required to administer an elev8.dance customer account.

Dancer and Participant Information

Dance studios, event organizers, parents, guardians or other authorized users may provide participant information such as:

• dancer or participant name;
• date of birth or age;
• studio affiliation;
• routines and entries;
• dance discipline, category, level or division;
• choreography and teacher information;
• scheduling information;
• music or other files associated with an entry;
• waiver, authorization and consent records;
• competition results, placements, scores or awards;
• adjudication feedback or critiques; and
• photographs, videos or other event-related media where those features are used.

Not every elev8.dance customer or event collects all of this information.

Transaction and Billing Information

We may collect information required to administer subscriptions, competition registrations, invoices and other transactions.

Payment processing is provided through third-party payment processors. Full payment-card numbers and card security codes are processed directly by the applicable payment provider and are not received or stored by elev8.dance.

We may receive and retain payment-related information such as payment tokens, transaction identifiers, subscription information, payment status and other information required to administer the transaction.

Third-party payment processors handle payment information in accordance with their own privacy practices and security requirements.

Communications and Support Information

If you contact us, we may retain the information contained in your communication, including support requests, emails, feedback and records relating to the resolution of an issue.

Technical and Usage Information

When you access our website or Services, certain information may be collected automatically, including:

Anyone who provides Personal Information about another individual through elev8.dance is responsible for having the authority, permission or consent required to provide that information.

We may use Personal Information to provide and operate the Services, administer customer accounts and support the organizations and individuals who use elev8.dance.

Providing the elev8.dance Services

• register dancers and participants;

• maintain, test and improve the Services;
• develop new features and functionality;
• understand how the Services are used;

Communications and Marketing

7. Dancer Information and Information About Minors

Dance is a youth-focused activity, and elev8.dance recognizes that the Services may contain Personal Information relating to children and teenagers.

Participant information about minors is typically provided to elev8.dance by a parent or guardian, dance studio, competition organizer or another person authorized to register or manage the participant.

Organizations and individuals providing information about minors through elev8.dance are responsible for obtaining any consent, permission or authorization required for the collection and use of that information.

Where an individual who may not be able to provide meaningful consent creates or uses an elev8.dance account directly, authorization from a parent or legal guardian may be required.

We do not intentionally seek information about children beyond what is reasonably required to provide the Services selected by the studio, event organizer, parent, guardian or other authorized user.

If you believe information about a child has been provided to elev8.dance without appropriate authority, please contact us so that we can review the circumstances and take appropriate action.

8. Information That May Be Visible to Others

Certain information within elev8.dance is intended to be shared as part of running or participating in a dance event.

Depending on the features selected by an event organizer, information such as a participant’s name, studio, routine title, performance category, schedule, results, awards or other event information may be displayed in an event program, schedule, results section, participant application or other event-related area.

Some information may therefore be available to registered users, studios, event participants or, where an event organizer chooses to make that information publicly available, members of the public.

Event organizers are responsible for determining which event information is made available through their event.

elev8.dance does not sell or rent Personal Information to third parties for their own marketing or commercial purposes.

9. When We Share Personal Information

We disclose Personal Information only where reasonably necessary for the purposes described in this Privacy Policy, where directed by a customer using the Services, with consent, or where permitted or required by law.

Personal Information may be disclosed to the following parties.

Studios and Event Organizers

Information may be shared with the dance studio, competition organizer or other organization responsible for the event or activity in which an individual is participating.

Authorized Event and Studio Users

Information may be available to authorized teachers, studio representatives, competition staff, adjudicators, event personnel or other users where required to perform their role within the Services.

Service Providers

We use third-party service providers to help operate our business and provide the Services.

These may include providers of:

• cloud computing, application hosting and data storage;
• media storage;
• payment processing;
• email and communications services;
• technology infrastructure, software development and technical support;
• analytics;
• security and fraud prevention; and
• business administration.

We provide service providers only with the information reasonably required to perform the services for which they have been engaged.

One feature of elev8.dance is the ability to retain dancer and studio information between competition seasons so that information does not have to be re-entered each year. Certain participant and account information may therefore remain within the Services from season to season while an account or customer relationship remains active.

Historical event information, including entries, schedules, results or other records associated with previous events, may also be retained where reasonably necessary for event administration, record-keeping or other legitimate purposes.

When a customer relationship ends, access to the Services may be terminated and the customer is responsible for downloading information it wishes to retain in accordance with the applicable Terms and Conditions.

Termination of an account does not necessarily result in the immediate deletion of all information.

We may retain information following termination where reasonably necessary for the purposes described above. When Personal Information is no longer reasonably required for an identified purpose, we will take appropriate steps to delete, destroy or de-identify it, subject to applicable legal, contractual and technical requirements.

Information contained in system backups may remain for a limited period as part of normal backup, security and disaster-recovery processes.

14. Security

We take reasonable administrative, organizational and technical measures designed to protect Personal Information against loss, theft, unauthorized access, disclosure, copying, use or modification.

If the information was submitted to elev8.dance by a dance studio, competition organizer or other customer, we may refer your request to that organization or work with that organization to respond.

You may also be able to update certain information directly through your account.

18. Requests to Delete Information

You may contact us to request deletion of Personal Information.

Whether information can be deleted will depend on the nature of the information, why it was collected, whether it is controlled by an elev8.dance customer, and any legal, contractual, record-keeping or technical requirements that apply.

Deleting or restricting certain information may prevent us from providing some or all of the Services.

Where information was submitted by a studio or event organizer, we may require the request to be made through or confirmed by that organization.

19. Third-Party Websites and Services

The elev8.dance website or Services may contain links to third-party websites, applications or services.

Third parties have their own privacy practices and policies. elev8.dance does not control how independent third parties collect, use or disclose information once you leave our Services or provide information directly to them.

We encourage you to review the privacy policies of third-party services you use.

20. Information Provided by Customers

Customers using elev8.dance are responsible for ensuring that Personal Information they submit to the Services is collected and provided lawfully.

This includes obtaining any consent, permission or authorization required to provide Personal Information about dancers, parents, guardians, teachers, adjudicators, staff or other individuals.

Customers are also responsible for ensuring that individuals are appropriately informed about how their information will be used in connection with their event or organization.

Users must not enter Personal Information into elev8.dance that they are not authorized to provide.
